How to manage everything and not forget anything?

In this article I will share a personal system that allows me to get everything done and not forget anything. It is very simple and universal: suitable for any person. The first results from its implementation are visible within a few days.

The system is based on three pillars:

  1. Priorities
  2. Proper planning
  3. Written recording of all matters

Priorities

  • Determine what is most important to you. Every day we need to do dozens of tasks, but not all of them bring us closer to our life goals. Therefore, it is important to prioritize. For example, a freelancer may prioritize tasks related to finding new clients and servicing current ones. For a girl on maternity leave with a child - activities with the child, scheduled visits to the clinic, etc.
  • Determine what you can put off until later. Typically, these are not urgent or important tasks.
  • Put your priorities in writing so you can always look at them.

Trying on things

Perhaps the most unpleasant thing about shopping is the need to undress and dress again a million times. This takes a lot of time, but in the end your hair is disheveled, sweat is flowing from your forehead, and you are in no mood.

As a rule, the list turns out to be long and it becomes clear that it will not be possible to do everything. It's not scary.
  • After making a list of tasks for the day, I rank them by importance. I put important and urgent things that correspond to my priorities first. Then - urgent and not important. Unimportant and non-urgent tasks remain at the end of the list.
  • Next to each task I put the approximate time required to complete the work, and count the total time for all the tasks that I have already normalized. As soon as 6 hours are reached, I draw the line. Above the line are tasks that need to be completed in a day. Below the line are tasks that cannot be completed; accordingly, they will have to be rescheduled.
  • The exception is if there are many urgent and important tasks. Then you will have to work overtime to get everything done.
  • As I work, I mark off the list of things that are ready. If new tasks appear during the day, I add them to the list depending on priority.
  • All tasks that I did not manage to complete during the day are transferred to the list for the next day and are ranked again accordingly. Of these, urgent and important ones are selected, etc. according to the scheme.
  • On Friday evening, I go through the list of unfinished tasks that have accumulated during the work week. If something gets carried over from day to day, it may not be worth doing. If it's really not needed, I cross it out and forget about this task.

  4. Record all tasks in one place. For example, in one notepad or in one file. If you write tasks on different pieces of paper, sooner or later you will lose and forget something.
  5. Be sure to transfer the tasks left over from the last day to the new one so that tasks are not lost. You can delete cases only once a week - on Friday evening. Then you will decide which tasks do not need to be done, because... they have lost their relevance or are not really needed.
